Stop doing things manually. Let technology handle it.

Every hour your team spends on invoicing, data entry, follow-up emails, and report generation is an hour not spent growing your business. AIXperts builds automation systems for South African SMEs that eliminate the repetitive work — and free your team to do what only humans can do.

What We Automate

The repetitive tasks that are draining your business.

If your team does it manually every day, we can probably automate it.

Most South African businesses are running on a combination of spreadsheets, manual emails, and people doing the same things over and over. It works — until it doesn't. We map your processes, find the bottlenecks, and build systems that run automatically.

  • Invoicing & payments — auto-generate invoices, send payment reminders, reconcile accounts
  • Quote & proposal generation — instant professional quotes from a few inputs
  • Email & WhatsApp follow-ups — automated sequences that nurture leads while you sleep
  • CRM & pipeline updates — deals move through stages automatically based on activity
  • Reporting & dashboards — weekly and monthly reports generated and sent without manual effort
  • Data entry & capture — pull data from forms, emails, and documents into your systems automatically
  • Scheduling & reminders — bookings confirmed, reminders sent, no-shows reduced
  • Inventory & stock management — low stock alerts, auto-reorder triggers, supplier notifications

Questions

Business automation: your questions answered.

Straight answers to the questions we hear most often.

What is business automation?
Business automation is the use of technology to perform repetitive tasks automatically, without a person doing them manually every time. Instead of someone generating an invoice by hand, the system creates and sends it automatically when a job is marked complete. Instead of a sales rep remembering to follow up, the CRM sends the follow-up email on schedule. The goal is to free your team from routine tasks so they can focus on the work that actually requires human judgement.
How much does business automation cost in South Africa?
It depends on the complexity of what you want automated. Simple, single-process automations (like auto-sending invoices or booking confirmations) typically start from R5,000–R15,000. Multi-step, multi-system automations that connect several tools together range from R20,000 upwards. Most businesses recover the investment within 2–4 months through time savings alone.
Which processes in my business can be automated?
Any task that follows the same steps every time it's done is a candidate for automation. Common examples include: generating and sending invoices, following up with leads who haven't responded, creating weekly sales reports, sending appointment reminders, onboarding new clients with standardised documents, updating stock levels, and routing customer queries to the right person.
Do I need to be a tech company to benefit from automation?
Not at all. Automation is most valuable for traditional businesses — law firms, construction companies, medical practices, logistics operators, retailers — where the manual work is heaviest. It's the non-tech businesses that benefit the most from having an expert set this up for them properly.
Will automation replace my staff?
No, and that's not the goal. Automation removes the boring, repetitive parts of your team's jobs so they can focus on work that actually requires their skills and judgement. The businesses we work with typically keep the same team but get significantly more output from them. Staff usually welcome it — nobody enjoys doing the same data entry for the fifth time this week.
How long does it take to implement?
Simple automations can be live within 1–2 weeks. More complex, multi-system workflows typically take 3–6 weeks depending on the number of platforms involved and how much custom configuration is needed. We'll give you a realistic timeline upfront so you can plan accordingly.
What tools and software do you work with?
We work with a wide range of tools including Make (formerly Integromat), Zapier, n8n, and custom-built automation systems. On the software side, we integrate with Xero, Sage, QuickBooks, HubSpot, Salesforce, Google Workspace, Microsoft 365, WhatsApp Business, and many others. If you use it, there's a good chance we can connect it to your automation.
